1. Introduction

LiblibHub (“we,” “us,” or “our”) is an online language instruction platform. We are committed to protecting your personal data and being transparent about how it moves across borders. This policy explains our practices regarding data collected via our website (WordPress), our booking system (Amelia), and our third-party partners (Stripe, Google Meet).

2. Lawful Basis for Processing

In accordance with international privacy laws (including GDPR and CPRA), we process your data only when we have a legal basis:

  • Contractual Necessity: To manage your bookings, process payments, and provide 1-on-1 or group lessons.
  • Legal Obligation: To maintain financial records for tax and audit purposes.
  • Legitimate Interests: To ensure website security, prevent fraud, and improve our services.
  • Consent: When you explicitly opt-in to marketing or non-essential cookies.

3. Data We Collect

  • Identity & Contact Data: Name, email address, and phone number collected via the Amelia booking plugin.
  • Financial Data: Payments are processed securely via Stripe. LiblibHub does not store or see your full credit card number or CVV.
  • Technical Data: IP addresses, browser types, and usage patterns collected via WordPress and our host, Hostinger.
  • Communication Data: Audio or video captured during lessons via Google Meet or Zoom (see Section 5 for recording details).

4. Data Storage, Residency, & International Transfers

  • Server Location (Data Residency): To provide high performance for our international users, our website and booking databases are hosted on Hostinger servers located in the European Union (France) and possibly worldwide.
  • Worldwide Access: LiblibHub is a United States entity. You acknowledge that authorized LiblibHub staff or instructors may access your booking information from the United States or other global locations to facilitate and conduct your lessons.
  • Cross-Border Safeguards: Because LiblibHub is based in the US, any access to your data is legally considered an “International Transfer.” We ensure your data remains protected by using Standard Contractual Clauses (SCCs) and ensuring our partners (Stripe, Google) adhere to the EU-U.S. Data Privacy Framework.

5. Session Recordings

LiblibHub or its instructors may occasionally record sessions via Google Meet or Zoom for quality insurance, teacher training, or student review.

  • Notification: You will receive an automated notification when a recording starts.
  • Consent: Remaining in a recorded session constitutes consent. If you do not wish to be recorded, you may turn off your camera/mic or leave the session.
  • Retention: Recordings are generally deleted after 6 months.

6. Data Retention & Account Purge

  • Financial Records: Transactional data is archived for 7 years to comply with U.S. tax laws.
  • Inactive Account Purge: To ensure we do not “hoard” data, accounts with no login or booking activity for 24 consecutive months will be permanently deleted from our active database.

7. Your Global Privacy Rights

Regardless of your location, you have the following rights:

  • Access/Portability: Request a copy of the data we hold about you.
  • Correction: Request that we fix inaccurate contact information.
  • Erasure: Request the deletion of your personal data (“Right to be Forgotten”).
  • Objection: Object to the processing of your data for marketing.
